Operations Coordinator

Portland, OR • Starting January 2, 2023

Parkour Visions, an internationally recognized nonprofit, is seeking an Operations Coordinator who will be the primary interface between youth and adult programs that operate across 20+ outdoor locations in Portland and Seattle.

Parkour Visions is a small organization with a lot of moving parts. We need a high-functioning individual who has a lot of experience with existing systems or who can pick up the needed skills quickly. A capacity for multi-tasking and a high bandwidth are key. This person will need great communication skills coupled with technical competence. They will be handling a range of tasks from insurance, permitting, data management, onboarding, and a range of other procedural operational tasks.

DUTIES & RESPONSIBILITIES

General Job Duties

  • Operations: Coordinate day-to-day operations, ensuring efficiency, effectiveness in regular business processes.

  • Systems & Processes: Work with systems to organize and optimize staffing resources, student enrollment, and customer satisfaction.

  • Program Support: Support PKV’s programs in Seattle and Portland to ensure programs have what they need and run smoothly.

  • Human Resources: Support Executive Director in the onboarding process. Support coaching staff that are working at multiple locations ever day.

  • Billing & Invoicing: Create and manage annual budget and business plan. Strategize and work toward a financial surplus while mitigating risk. Work effectively with the organization’s accountant. Produce regular financial status/progress reports for mutual direction-setting with the Board of Directors.

  • Tracking and Data: Gather operational data from multiple platforms and synchronize with tracking systems for regular organizational updates.

  • Staff Liaison: Be the primary point of contact for staff in all locations. Support staff in finding emergency covers when needed.

Required Skills:

  • 2+ years experience in operations (Preferably with Google Workspace)

  • 2+ experience working in gym operations or youth outdoor programming operations

  • Interfaces positively and professionally with customers and staff

  • Adapts quickly to changing situations and come up with solutions on the fly

  • Works well as part of our team, is punctual, and communicates effectively

  • Has a phone with data to sign in/out students and a computer with a webcam for meetings

Preferred Skills:

  • 2+ years experience with outside programming (adult or youth)

  • 2+ years experience in customer service, including email and phone communications

  • 5+ years practicing parkour or other movement or sport discipline

  • Certified in adult and pediatric first aid/CPR/AED

Tasks & Responsibilities:

Tracking & Reporting: Compile regular reports by consolidating data from our online systems.

Communication

  • Support daily programming communications in Seattle and Portland

  • Send Welcome emails to all new classes and new registrants

  • Answer phone calls and text messages

  • Respond to general email inquiries or redirect to relevant staff

  • Org Inboxes - Monitor incoming communication & special requests

  • Support Managers, coaches, volunteers, and staff as needed

Operations

  • Permits - File/Maintain park permits

  • Licenses - Maintain relevant OR & WA business licenses

  • Insurance - Maintain Insurance & Manage COIs

  • Contracts - Support partners and Staff in digital contract signing & processing

Online Systems & IT

  • Maintain technology solutions throughout the organization

  • Maintain Staff Training on Primary Technology

  • Manage access level for staff

  • Provide Training and Support for employees as needed

  • Support classes and cover assistant coaches when needed

Billing & Invoicing

  • Invoicing - Submit invoices under ED’s Direction

  • Monitor Bills & Autopayments for ED and Managers to pay

HR Onboarding

  • Support Staff Onboarding Process

  • Support the Volunteer onboarding process

  • Track students, volunteers, and staff as they move around the org

HOURS, LOCATIONS, AND CONDITIONS

Parkour Visions delivers programs at 20+ locations around Seattle and Portland. This position will require online meetings and occasional in-person meetings. Candidate should either be located in Seattle, WA or Portland, OR area. Candidates should be willing and able to travel to the other branch location on occasion (1-2 trips per year).

Experience:

  • Gym/Fitness Operations: 2 years (Preferred)

Ability to Relocate:
